We do not perform voice biometric identification. To the extent a caller voluntarily discloses information that is considered sensitive in some jurisdictions (for example, health-related information such as food allergies or dietary restrictions), it may be captured in the written transcript and AI-generated summary so the User can respond appropriately. We use such information only to provide the Services to the User and we do not infer additional characteristics from it.
We do not sell personal information. We do not use call transcripts, summaries, or audio to train AI models. When a User configures an optional outbound integration (for example, a messaging, chat, or webhook destination of their choice), we share the call summary — including the caller's phone number and any caller-provided details such as name, address, and order or reservation information — with that destination at the User's direction. The User is responsible for the privacy practices of any destination they configure.
We retain transcripts and AI-generated summaries for as long as the User's subscription is active. Raw audio is never stored. You may request deletion at any time by contacting us at the address below; upon subscription cancellation we delete associated call data within 30 days of the deletion request. See section "HOW LONG DO WE KEEP YOUR INFORMATION?" for the full retention schedule.
Depending on where you live, you may have the right to know, access, correct, delete, or limit the use of your personal information, and to opt out of any "sale" or "sharing" for targeted advertising purposes. We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

In Short: When someone calls a number that is connected to a Coverforme assistant, our Services collect information about that call so the User can review what the caller asked for.

We do not record or store raw audio of any call. Only the written transcript and AI-generated summary are saved.
Where you operate such a vertical assistant, we process personal information about your callers on your behalf and at your direction to deliver transcripts and summaries to you as described in this Notice. You determine how you use that information with your staff and patrons; we provide the technical processing here.
Calls handled by Coverforme are processed by AI in real time. We do not record or store raw audio. A written transcript and AI-generated summary are saved in the User's private dashboard so they can review what callers asked for.
We do not perform voice biometric identification and we do not actively solicit special categories of sensitive personal information as part of the Services.
A caller may voluntarily disclose information that is considered sensitive in some jurisdictions during a call. The most common example is health-related information disclosed during a food-service or hospitality call, such as food allergies or dietary restrictions, which the caller may share so the User can prepare their order safely. When this happens, the information may appear in the written transcript and AI-generated summary that we store on behalf of the User. We use such information only to provide the Services to the User; we do not sell it, share it for cross-context behavioral advertising, or use it to infer additional characteristics about the caller.
When you (the subscribing business) purchase a subscription or pay us for the Services, we may collect data necessary to process that payment, such as your payment instrument number and the security code associated with your payment instrument. All such payment data is handled and stored by Stripe as our payment processor for your billing relationship with Coverforme.
The Services do not include processing payments from your callers (for example, taking a caller's credit or debit card over the phone), and we do not offer that capability. You should not use the Services to collect or store callers' payment card numbers for processing.

If you enable pay-as-you-go, we store your cap preference and track overage minutes and estimated overage charges for your billing period. We report metered overage usage to Stripe so it can appear on your invoice. We may email or text you about usage against your included minutes or your pay-as-you-go cap (see our user guide). Cap-raise links in those messages are signed and time-limited.
We may provide you with the option to register with us using your existing Google, Facebook, or LinkedIn account. If you choose to register in this way, we will collect certain profile information about you from the social media provider, as described in the section called "HOW DO WE HANDLE YOUR SOCIAL LOGINS?" below.
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. We provide the AI Products through third-party service providers ("AI Service Providers"), including large language model providers, voice infrastructure providers, speech-to-text providers, and content extraction providers. The current list of these sub-processors and their roles is published on our Subprocessors page and is updated whenever we add or change a sub-processor. If you would at any time like to review or change the information in your account or terminate your account, you can:
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.
California law requires us to let you know how we respond to web browser DNT signals. Our website recognizes and honors Global Privacy Control (GPC) signals as valid opt-out requests in accordance with California and other state laws.
We recognize and honor Global Privacy Control (GPC) signals. If you use a browser or extension that supports GPC, we will treat this as a valid request to opt out of the sale or sharing of your personal information for targeted advertising purposes under applicable state privacy laws, including the California Consumer Privacy Act (CCPA).

As part of our Services, we utilize Automated Decision-Making Technology (ADMT) to process and analyze voice communications.
Our services utilize artificial intelligence and machine learning to transcribe and summarize voice communications. While we strive for high accuracy, AI-generated outputs are inherently probabilistic and may occasionally be inaccurate, incomplete, or misleading. We do not guarantee the accuracy of any transcript or summary. Users are solely responsible for reviewing and verifying the accuracy of all AI-generated content before relying on it for business, legal, or financial decisions. Use of the service constitutes acknowledgment that the AI output is provided "as-is" and that the company is not liable for errors or omissions in the automated processing.
For accounts that use uploaded or configured reference materials for caller-facing answers — including common food-service and hospitality scenarios — responses about menus, ingredients, allergens, pricing, and item availability may be wrong or outdated even when sourced from materials you provide. The Services do not provide medical, nutritional, or food-safety advice. See also our AI Transparency disclosure.
We do not use call transcripts or raw audio recordings to train our foundational AI models or sell them to third-party AI developers. Your data is used strictly to provide the service to you.
